This agreement is the complete and entire agreement between CrossRoads Missions, 3231 Ruckriegel Parkway, Suite 111, Louisville, KY 40299 and the church or organization, hereafter referred to as "Client". Regardless of the place of signing of the agreement, the Client agrees that for purposes of venue, this agreement was entered into in Jefferson County, Kentucky, and any dispute will be litigated or arbitrated in Louisville, Kentucky, and the Client hereby consents to the personal jurisdiction of the Kentucky State Courts (or in the county, city and state of CrossRoads Missions current address at the date of such litigation.) Furthermore, the Client waives any right to or claim of sovereign immunity. This agreement shall be enforced effective with the acceptance by CrossRoads Missions.


All fees within this agreement are in US currency. This agreement adheres to the dates indicated below unless otherwise agreed upon with the CrossRoads Missions Field Staff.

Registration and Deposit

A registration fee of $500 will hold your trip dates and participant spaces until three months before your trip. It is a non-refundable fee, but applies to your final balance. The registration fee is due immediately upon booking a trip date and reserving participant spaces with CrossRoads Missions. Payments may be made on our website or by check sent into our office address.

Three months before your trip, a $100 non-refundable and non-transferable deposit is due for each participant space. Once spaces are held by a deposit they are no longer available for other groups or individuals to reserve.  If the individual deposits are not received, the participant spaces will be made available for other groups and the registration fee is lost. Groups may immediately pay the non-refundable $100 per participant deposit.

Cancellations: Registration fees and deposits are non-refundable for any reason. They cannot be applied toward future trips or transferred to a different field.


If paying by check, CrossRoads Missions will send a confirmation that payment has been received and that your dates are secured.

The participant fee covers supplies for home construction and renovations, facility repairs and renovations and all housing, food and supplies for worship and devotions. The total cost of your trip is listed on the registration page of the CrossRoads Missions website and is conditional on the duration and location of your trip.

The participant fee DOES NOT include transportation, travel meals, or snacks and admission to state parks or off day activities. Trip spaces cannot be guaranteed until the deposit has been received.

Deposits are non-refundable and non-transferable to another field. For example: if your deposit is for 30 trip participants and you end up having only 28, the deposit is still based upon your original 30 participants.

Missing any payment date may result in late payment penalties equal to five percent of the total trip amount.

Changes to Trip Arrangements

All trip arrangement modifications must be approved in advance by CrossRoads Missions Staff.

Change requests must be in writing via email or US Postal Service. CrossRoads Missions is available to assist with travel arrangements, however, all travel expenses are the responsibility of the Client.

General Agreement Terms

All payments and deposits to CrossRoads Missions are non-refundable and non-transferable to another field. CrossRoads Missions, at their discretion, may provide a credit towards future available trip dates.

Trip Forms

All forms should be returned to CrossRoads Missions according to the dates and details on the respective form. Forms will be sent to you in further communications. Forms will include:

Form B:  Pre-trip group form – online form due one month before you arrive
Form C:   Youth Medical, Dental and Photography Release Form – due when you arrive for your trip
Form D:   Adult Medical, Dental and Photography Release Form– due when you arrive for your trip
Form E:  Code of Conduct -- due when you arrive for your trip

Note: A copy of each participant’s Health Insurance Card is due when you arrive for your trip. Each person must have health insurance. Contact our office for options for insurance for individuals for your trip.







Signatures on Behalf of the Church or Organization

Please be aware that completion of the registration process and receipt of payment will qualify as your electronic signature and your acceptance of this agreement as a financially binding agreement. Submitting this agreement, without the appropriate signature representatives of the church results in forfeiture of any deposits or payments made and immediate cancellation of the trip. The undersigned acknowledge acceptance to the terms of the agreement and acknowledge that CrossRoads Missions will be held harmless, protected and indemnified from any liability including attorney’s fees and/or court costs in conjunction with any incident, claim or suit, threatened or actual arising in conjunction with this agreement or its related trip activity.


By completing registration and submitting payment, I agree that my electronic signature is the legally binding equivalent to my handwritten signature. Whenever I execute an electronic signature, it has the same validity and meaning as my handwritten signature. I will not, at any time in the future, repudiate the meaning of my electronic signature or claim that my electronic signature is not legally binding
